Study abroad agency CRM in 2026: how the specialist tools compare

Education agents have their own software category, with tools that speak intakes, institutions and sub-agents. They differ more than their home pages suggest: some are built for English-speaking markets and sub-agent networks, some for exchange programs, some for visas. Here is a side-by-side reading of what each one publicly lists.

What a study abroad agency needs from its CRM

A study abroad agency runs a workflow that general CRMs do not know. Before comparing tools, let us set that workflow down, because it is what you should test in a demo.

  1. The lead comes from a Facebook or Instagram campaign, a fair, the website or a referral.
  2. Counselling: a meeting, notes, a study plan, a budget, a target intake.
  3. Applications: several institutions, several programs, an intake for each, application fees.
  4. Documents: transcripts, diplomas, language test, motivation letter, often translated.
  5. Decisions: offer, waiting list, refusal, deposit to pay.
  6. The visa: study permit and CAQ for Quebec, a Studies in France file, a student visa elsewhere.
  7. Money: student fees, commissions from partner institutions, sub-agent shares.

A tool that handles two of these steps well and the other five poorly sends the team back to the spreadsheet.

The specialist tools, based on what they publish

The following comes from the vendors’ home pages, consulted on 25 October 2026. A feature missing from a page is not necessarily missing from the product: it is a question to ask.

Agentcis presents itself as a CRM for education and migration agents and claims more than 4,000 agents. Its page lists lead forms and Facebook Lead Ads, application management with document checklists and a StudyLink integration, a client portal to track applications, partner management (institutions and sub-agents) with an agent portal, WhatsApp campaigns, SMS and email campaigns, and 2,000+ integrations through Zapier. 7-day free trial; prices are on a separate page. EduAgentCRM targets education agents, from sub-agents to large multi-office agencies: unlimited lead forms, lead distribution across the team, applications to several institutions at once linked to the right intake, partner management, portals for candidates, counselling sessions and reports by course, intake and institution. No prices on the home page. Source.

Ticlick serves student recruitment agencies, universities, language schools and exchange organisations (J-1 sponsors among them): a leads pipeline, applications and programs, placements including visa preparation, partner management, a student portal and mobile app, email and WhatsApp reminders, accounting and payments, and integrations with Calendly, WhatsApp, Stripe and Twilio. Several plans (Basic to Flex), no prices shown. Source.

SmartX, with its EduCa CRM product, lists application management, multi-country applications, B2B sub-agent management, visa management and tracking, visitor visa operations, document management and a university course finder. Its pricing is a single flat annual price with no per-user fees. Source.

What really sets the tools apart

Language. None of the tools reviewed states French as an interface language on its home page. For an agency in Casablanca, Dakar or Montreal whose team and families work in French, that is the first thing to check, for the interface and for the student space.

Studies and immigration together. Many French-speaking agencies prepare both school applications and visa or immigration files. In enrolmentCRM the agency chooses studies, immigration or both; the same client can have an application to an institution and a study permit file with a CAQ, each with its own stages and documents.

The front of the funnel. Meta leads arrive with their campaign, and assignment rules send them to the right counsellor the moment they arrive. The prospect list filters and sorts like a spreadsheet, and shows the distribution by counsellor.

Prospects: who handles them, which channel they came from, where they stand.

Money. Commissions from partner institutions are invoiced and tracked; on the team side, each counsellor’s commission is calculated on paid invoices and waits for management approval. A sub-agent sees only the clients they brought in, and amounts stay with management.

Counsellor commissions: amount, file, source invoice and status pending approval

Five questions to ask every vendor

Run the demo on a real file from your agency, and ask these five questions, in this order.

  1. “Show me a Facebook lead from last night, from arrival to the first call.” How many clicks, who gets notified, what happens if nobody calls back?
  2. “Can my team do everything in French, and my clients too?” The interface, the student space, the emails, the letters.
  3. “Can one client have an application and a visa file?” And does the record stay single?
  4. “How do you track a school commission, from invoice to payment?” And a sub-agent’s share?
  5. “If I leave, how do I get everything back?” Files, documents, history, and in which format.

The bottom line

Specialist CRMs for education agents all cover leads and applications. They differ on everything around them: sub-agents, the student space, WhatsApp, visas, commissions, and above all language. For a French-speaking agency that does both studies and immigration, enrolmentCRM was built for that double activity, in English and French.

Frequently asked questions

What is the best CRM for a study abroad agency?

The one that matches how your agency works: English or French, sub-agent network or direct clients, studies only or studies and immigration. The specialist tools compared here all handle leads and applications; the differences are in the rest.

Is there a study abroad CRM in French?

enrolmentCRM is fully available in French and English, for the team and for the client space. For other tools, check the interface language during a demo: it is rarely stated on their home pages.

Can one CRM handle both studies and immigration?

Yes. In enrolmentCRM an agency chooses studies, immigration or both at signup; the same client can have a school application and a visa or immigration file, with their own stages and documents.

How are sub-agents handled?

In enrolmentCRM a sub-agent sees only the clients they brought in, and commission amounts stay with management.
